Trouble Shooting Microsoft Money Transactions with Linked Files
Most Transaction Link Problems are Easily Solved

By Shelley Elmblad, About.com

These are some of the common problems you may encounter with files linked to Microsoft Money transactions. Fortunately, nearly all are easy to fix.

A Red Flag Appears Next to Transaction Instead of a Paperclip

The follow up flag and the paperclip icon that signified a linked file in Microsoft Money share the same field on the transaction line in the account register.

Transactions that have file links and that are also flagged for follow-up will only show the follow-up flag and not the paperclip icon. You can verify that the link to the file is still active by holding your mouse pointer over the follow-up flag, where you will see "Right-click to open linked file". Unfortunately, relying on this method of finding file links in transactions defeats a primary purpose of the links: to be able to identify the file links immediately. The best thing to do in this situation is to actually take action on the follow up flag and remove it so the linked file paperclip icon shows up in the register.

After Restoring Backed Up Microsoft Money Data File, Linked Files are Missing from Transactions

If you created links to files in Money transactions after the date of your last back up and you needed to restore your data file, links created after the last back up need to be recreated.

Remember that linked images and files are not backed up in Microsoft Money, only your data is. Be sure to copy the folder created for linked files to a CD or other removable data storage regularly, or add the folder in the software you use to back up all your data, and back up frequently.

The more frequently you use Microsoft Money, the more frequently you should back up your Microsoft Money data. Most people should back up Microsoft Money data at least once a week. Back up your linked files as often as you back up Money data.

Money Does Not Recognize Linked File Type

Money will let you link to any file type, but if you try to open an unknown linked file type, you will see this warning message:

Money does not recognize the file type for the linked file you asked to open. Opening the file may not be safe. Are you sure you want to open this file?

If you are sure the file is safe, click on OK. If you are not certain the file is safe to open, click on Cancel then use antivirus software to scan the file. If it is clean, you can go ahead and open the file link to the Microsoft Money transaction.

File types Microsoft Money recognizes for linked transactions.

Do Not See the Option to Link to a File When Transaction is Clicked

  • First, be sure you are right-clicking on the transaction or the paperclip icon. A regular left-click will only select the transaction line.

  • File linking is only available in Advanced Registers in Microsoft Money and not in Essential Registers. Be sure you are using the Advanced Register.

  • Linking files to transactions is a feature in Microsoft Money Plus 2008 and later, in Money Plus Deluxe, Premium and Home & Business versions. Linking files to transactions is not supported in Microsoft Money Essentials.

It is Difficult to Find the Files in the Link to File Dialog

To find files quickly for linking to Microsoft Money transactions, create a folder specifically the files you want to link to. Save or copy all files you want to link to a Money transaction only in that folder. Be sure to back up the folder regularly since back ups from within Microsoft Money Plus only backs up data and not linked files.
